Executive Initiatives & Board Liaison
Reports to: President & Executive Director
Classification: Part-Time, 21 hours a week, non-exempt
Compensation: $35/hour for 21 hours a week.
Benefits: This position is eligible for paid vacation and personal time off, 1 additional day of
paid birthday PTO, a $30/month flexible work stipend and an annual professional
development stipend [$175 in FY27].
Location: Hybrid work schedule with the expectation of attending weekly in-person staff meetings at our office space in Brooklyn, plus additional in-person work as required to carry out the duties of this position. This position can expect to be working in person regularly (2 days a week on average) - attending meetings and events across Brooklyn.
BAC’s hybrid work schedule is subject to change and employees are expected to be available in person during working hours as required.

Position Overview:
The Executive Initiatives & Board Liaison provides high level administrative and project support to the President & Executive Director and serves as a key coordination point for the leadership team and Board of Directors.
Duties include a range of administrative, logistical and project based tasks: alongside managing schedules and logistics, this role will also help advance strategic initiatives such as the Brooklyn Arts & Culture Kollective & the collective work of the NYC borough Arts Councils, preparing materials; tracking action items and following up with stakeholders to ensure that projects move forward. In any given week you can expect to be co-ordinating & communicating with a wide range of partners; preparing agendas and briefing notes,creating decks, compiling information and developing systems and processes to help manage projects and information.
This position requires exceptional organizational & administration skills; attention to detail, sound judgement & discretion and the ability to build positive working relationships. Youshould have experience and be comfortable juggling multiple priorities in dynamic mission driven, non-profit environments.
RESPONSIBILITIES
Administration & Coordination
Prioritizing requests to ensure the ED’s time is aligned with organizational priorities
Manage meeting logistics including booking rooms, making reservations, setting up
technology and organizing hospitality where appropriate
Coordinate travel for the President & Executive Director & leadership team
Maintain organized files, documentation and manage receipts & reimbursements for executive expenses
Handle confidential information with professionalism & discretion
Prepare agendas, take minutes & follow up on action items in the weekly leadership team meetings
Provide administrative support for organization-wide planning initiatives as needed.
Strategic Initiatives & Special Projects
Coordinate & facilitate executive & strategic projects; supporting complex scheduling & external communications
Attend meetings, capture clear notes, identify action items and distribute follow up communication
Track deadlines, monitor progress and proactively follow up to ensure work stays on schedule
Prepare research & briefing notes as requested
Support the ED & Deputy Director and finance partner ArtsPool in ensuring financial records (invoices, receipts ) are maintained for Executive & Board, ensuring expenditure is being monitored and tracked appropriately
Coordinate staff gatherings & events, including our annual retreat & other culture building activities, supporting the scheduling & logistics and working with outside vendors where appropriate
Governance
Serve as the main point of contact for the board of Directors and support the President & Executive Director with all governance matters
Coordinate logistics for Board and committee meetings.
Prepare and distribute board packets and meeting materials.
Record meeting minutes and track follow-up actions.
Maintain board records and assist with board communications
Support board member onboarding and administrative needs
Cultivate and foster positive relationships both within the organization and with external partners, upholding & embodying organizational values
Provide additional organizational support & other duties as required
Required skills & experience
2-3+ years of high level executive support in a non profit, or similar environment, including with boards of directors
High attention to detail & administrative skills
Excellent written and verbal communication skills
Skilled at managing multiple projects simultaneously
High emotional intelligence, sound judgement & discretion when handling confidential information
Ability to remain calm under pressure & adaptable
Demonstrated ability to manage technology, systems & troubleshooting and proficiency with Google Workspace, Zoom & Asana
Strong organizational skills & a desire to serve with greater capacity & efficiency
Ability to build & cultivate positive working relationships with a wide range of stakeholders
A desire to support & an interest in arts & culture & the diverse range of Brooklyn communities we serve.
